One shift at your building

What happens between lock-up and open.

One shift at a warehouse with an office attached. This one runs overnight. Days work the same way when that suits the building better, and your own schedule is set at the walkthrough.

The times are an example and change with the building. The photos are from RLB sites.

  1. Keys, alarm, site notes.

The crew lead signs in, disarms, and reads the site notes: which areas are off limits tonight, anything your team flagged since the last visit.

  2. Washrooms and kitchens first.

Fixtures disinfected, dispensers filled, bins out. The two things your staff notice first are done first, while the crew is freshest.

  3. Floors.

Auto-scrubber through the aisles, docks and staging areas. Dust mop, then damp mop, in the office. Wet-floor signs stay out until it is dry.

  4. The detail pass.

Touchpoints, interior glass, cleared desks, lunchroom tables, entrance mats. Nothing on a desk is moved; nothing on a wall is touched.

  5. Walk-through against the scope sheet.

The lead checks every area on the sheet and photographs anything worth a note. If something could not be done, you hear it from us, not from your staff.

  6. Lights off, alarm set, keys logged.

Signed out. The visit note is in your inbox before you get to work.

  7. Your team walks in.

The questions facility managers ask first

What happens when something goes wrong.

Every cleaning company promises quality. These are the answers that actually decide whether you have a problem on Tuesday morning.

A cleaner is sick.

A trained backup who already knows your building covers the shift. You will not have to call to ask whether anyone came.

Something was missed.

Tell us by 9 a.m. and it is fixed the same day, at no charge. No debate, no ticket number.

You need to reach someone at 7 a.m.

You have the owner's direct number. Not a call centre, not a franchise office in another city.

You are worried about keys and alarm codes.

Keys are coded, never labelled with your address. Alarm codes are held by the crew lead only. Every visit is signed in and signed out.

It is not working out.

You choose the term, from month to month up to three years, and the notice period is agreed in writing before the first visit. We would rather earn the renewal than rely on a contract to keep you.

The price starts creeping.

The scope and the monthly price are written down before the first visit. Nothing lands on the invoice that is not on the scope sheet, and the price holds for twelve months.

Real sites, real floors

Photos from our own jobs, not a stock library.

Phone photos taken by the crew at the end of a shift. We would rather show you a real floor than a model with a spray bottle.

Owner-led

You deal with the person who quoted the job.

RLB Maintenance is run by its owner, Roxana Barraco, who still walks every new site personally, writes the scope, and answers the phone. There is no sales team between you and the people cleaning your building.

We are small on purpose. It is how the same crew shows up at the same building, and how a problem gets fixed the day it is raised instead of the week after.

Questions

The procurement checklist, answered.

If your property manager or head office needs paperwork before a vendor can start, here is what we send.

RLB Maintenance carries commercial general liability insurance. A certificate of insurance is available on request, and we can name your company or building as additional insured.

Yes. RLB Maintenance is registered with the WSIB and a current clearance certificate is available on request. Clearances are valid for 90 days; we send a fresh one before yours expires.

Every crew member completes WHMIS 2015 and Ontario health and safety awareness training before their first shift. Criminal record checks are done at hiring. Records are available for your vendor file.

The owner walks every site during the first month, then a supervisor inspects at least monthly against your scope sheet. You get a short note after each inspection.

Yes. Our own auto-scrubber, floor machines, vacuums, microfibre and chemicals. Washroom consumables such as paper, soap and liners can be supplied and restocked as part of the scope or left with you, whichever you prefer.

Evenings, overnight, weekends or during the day, whichever the building actually needs. Warehouses with round-the-clock receiving are cleaned in zones so a dock is never wet when a truck backs in.

No minimum. You set the term: month to month, or a fixed term of up to three years if you would rather lock the price in. The written scope and price are set at the walkthrough and do not change without your sign-off.

Commercial products with a Health Canada DIN for disinfectants, and ECOLOGO-certified cleaners where one exists for the job. You get the product list and safety data sheets with your scope sheet, so nothing used in your building is a mystery.

Yes. Plenty of buildings are easier to clean during the day, and some need a presence while they are open. Day porter visits for washrooms and lobbies, and daytime floor work in areas that can be closed off, are quoted the same way as after-hours work.
